Check-Ins

Check-ins allow you to track attendee arrival at your event in real-time. This feature is especially useful for multi-day events or when you need to monitor attendance.

Enabling check-ins

Before attendees can check in, you must enable the check-in feature for your event:

  1. Click on Events in the main menu.
  2. Choose the event name from the list, and click Settings.
  3. Under the Check-In section, enable Allow check-in.
  4. Click Save Changes.

Once enabled, staff members can check in attendees using either manual lookup or the kiosk mode.

Check-in methods

There are two ways to check in attendees:

Kiosk Mode

Ideal for high-traffic events where attendees need to check in quickly, Kiosk Mode allows you to set up a mobile device with a camera to scan QR codes provided to attendees.

Kiosks can be unattended for self-scanning by attendees, or can be used by staff to scan QR codes.

Manual lookup

Perfect for occasional check-ins or when helping attendees at a reception desk:

  1. Click on Events in the main menu.
  2. Choose the event name from the list, and click Check-Ins.
  3. Enter the attendee's email address or last name in the search field.
  4. Click Check In next to the attendee's name.

The system will prevent duplicate check-ins if an attendee has already checked in on the same day.

Check-in statistics

The Check-Ins page provides real-time statistics about event attendance:

Overall statistics:

  • Total unique check-ins (across all event days)
  • Total registered attendees
  • Overall attendance rate

Today's statistics:

  • Total on-site today
  • Expected attendees (those with bookings today)
  • Expected attendees who checked in
  • Extras (attendees without bookings today who checked in)
  • No-shows (attendees with bookings who haven't checked in)

Check-in history:

View a complete list of all check-ins including:

  • Attendee name and email
  • Check-in date and time
  • Check-in method (QR Kiosk or Staff Lookup)
  • Staff member who processed the check-in

This data can be exported using the All Check-Ins report from the Reports section.

Per-day check-ins

The system allows attendees to check in once per day for multi-day events:

  • On Monday, an attendee checks in → recorded for Monday.
  • On Tuesday, the same attendee checks in again → recorded for Tuesday.
  • If they try to check in again on Monday → prevented with "Already checked in today" message.

This ensures accurate daily attendance tracking while preventing duplicate check-ins on the same day.

Tips

For better attendance tracking:

  • Review daily statistics to identify attendance patterns
  • Use the "No-shows" count to follow up with expected attendees
  • Export check-in data regularly for your records
  • Compare check-in rates across different event days
